The method of payment and billing may vary depending on the nature of the assignment:

  • Hourly billing: The basis for billing is the number of hours worked and its predetermined hourly rate
  • Project-based payment: We agree on a predetermined fee for completing a specific project or task. If you are considering this type of arrangement, we will definitely make an individual agreement regarding the fee.
  • Monthly package offers: For regular tasks, we agree on a fixed monthly fee, which depends on which package you choose. Package prices depend on monthly hours and requested services.

For accurate billing, I use a time tracking application and provide detailed reports on the work done.

What tools are used for communication and task tracking?

Communication and task tracking can be done through various online tools:

If something is not suitable and you want it differently, please report the problem! We will discuss it together and I will modify the work according to your request, rethink the solution or the process. Direct and open communication is key to successful collaboration.

How flexible is the Virtual Assistant's working hours?

As a Virtual Assistant, I work with very flexible hours, so I can easily adapt to my clients' needs.

Basically, I am available by phone on weekdays between 9:00-18:00. I can respond to emails and chat messages flexibly outside of this period as well. If needed, I can be available in a wider time window at pre-arranged times (for different time zones or individual preferences). Scheduling can be customized as needed.

However, it is important that at the start of the service, we clearly define availability, deadlines, and how urgent tasks are handled, thus ensuring that I can always provide the necessary support in time.

What happens if I can't complete the task as a Virtual Assistant?

If I cannot complete the task you have assigned, I will definitely inform you about it. It is important to clarify the reason(s), whether it's professional limitations, technical difficulties, or other issues. In such situations, beyond informing you, I offer solution suggestions. If necessary, I can recommend another assistant, or we can discuss the tasks again and find a solution together. Flexibility and problem-solving approach are at the forefront of my services.

How is the quality of work ensured?

As a Virtual Assistant, I strive to perform the tasks entrusted to me with the greatest expertise and high quality. Additionally, continuous feedback opportunities and transparency of work processes guarantee appropriate quality in my work. How is confidentiality ensured?

Confidentiality is of utmost importance, so as a Virtual Assistant, I am legally obligated to adhere to confidentiality agreements. The contract templates include a confidentiality statement that ensures the security of clients' data, documents, and business information. Additionally, compliance with data protection regulations (such as GDPR) is fundamental in my work.

How does billing work?

The exact payment depends on the assigned tasks and is determined in advance at the start of work. I provide official invoices for all completed work, and payment is transparent. Billing is detailed, and my clients always know exactly what services and completed tasks they are paying for. I issue the invoice at the beginning of each new month after the previous month's closing, which I send using an invoicing program. Additionally, I provide performance certificates for tasks completed in the given month using time tracking software. If you request it, I can also provide a detailed report of exactly when, how much, and on what tasks I worked.

What happens if you want to assign urgent tasks?

I work flexibly, so I can take on urgent tasks as well. At the start of our collaboration, we determine what constitutes an urgent task and how deadlines affect work scheduling. I strive to complete urgent tasks quickly and efficiently, however, extra fees may apply for extra urgent tasks (for example, weekend work or extremely short deadlines). These fees are listed in advance under the package prices.

How can you measure if I'm doing the work you assigned well?

There are various methods for this. One option is to regularly provide feedback on my work and review the tasks I have completed. Additionally, I regularly write to you about the status of tasks, and you can also track these on Trello, which I keep up to date. This way, you can see that the tasks are progressing at the appropriate pace and quality. If something doesn't meet expectations, I send suggestions and new solutions.

How can continuous work relationship be ensured?

To maintain continuous contact, it is important to discuss communication channels, times, and expected response times in advance. Have daily, weekly, or monthly meetings so that you always have up-to-date information. Continuous communication and feedback help ensure that we are both satisfied with our joint work.
